Guest Services & Event/Meeting Coordinator
$19-22/hour, depending on experience
Property Summary:
The Inn at Lynden is a 35 room, boutique Inn located in the Waples Mercantile Building. The staff of the Inn at Lynden are the most important asset and our best feature. We work together to ensure a superior experience for our guests.
Duties and Responsibilities:
The Guest Services & Events Coordinator position is responsible for supporting the General Manager in daily hotel operations and in the continuing effort to deliver outstanding guest service and financial profitability. Specifically, you would be responsible for performing the following tasks:
Respond to meeting and event inquiries.
Meet with guests, provide tours and coordinate event bookings.
Coordinate event details, schedules and group room blocks.
Work closely with the General Manager and Lead Guest Services to ensure event and guest needs are communicated and full executed.
Communicate event specifics with Guest Services, Housekeeping and Maintenance.
Assist with event set up and clean up.
Assist guests with questions and help during the events.
Basic Qualifications:
2 years of Rooms Manager, Assistant Manager or hotel management experience.
2 years of event planning, catering or meeting planning.
Sales and operations background.
Experience with booking events, set up and organization of event execution.
Highly customer centric with success in increasing hotel/event ratings.
Physical requirements:
Flexible and long hours are sometimes required.
Light work – Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently or constantly to lift, carry, push pull or otherwise move objects.
Ability to stand during entire shift.
Mental requirements:
Must be able to convey information and ideas clearly.
Must be able to evaluate and select among alternative courses of action quickly and accurately.
Must work well in stressful, high-pressure situations.
Must be effective in handling problems in the workplace, including anticipating, preventing, identifying and solving problems as necessary.
Must be able to work and understand financial information and data, and basic arithmetic functions.
Must maintain composure and objectivity while under pressure.
What you will be doing:
Approach all encounters with guests and employees in a friendly, service-oriented manner.
Maintain high standards of personal appearance and grooming, which include wearing the proper uniform and name tag when working (per Inn standards).
Maintain regular attendance as required by scheduling which will vary according to the needs of the hotel.
Always comply with standards and regulations to encourage safe and efficient hotel operations.
Always maintain a friendly and warm demeanor.
Greet and welcome all guests approaching the front desk.
Maintain proper operation of the telephone and ensure that all performance standards are met.
Handle requests for information, mail and messages in an efficient and courteous manner.
Answer questions from guests regarding restaurants, transportation, entertainment, etc.
Establish and maintain excellent communications with fellow employees.
Be aware of the rates, packages and special promotions; Be familiar with all in-house groups; Be aware of closed-out and restricted dates.
Obtain all necessary information when making room reservations.
Have knowledge of and assist in emergency procedures as required.
Handle check-ins and check-outs in a friendly, efficient, and courteous manner.
Able to operate all relevant aspects of the front desk computer system.
Employees must always be attentive, friendly, helpful, and courteous to all guests, managers, and all other employees.
Specific Job Duties:
Weekly reconciliation of OTA reservations to ensure commissions are paid as per the reservations booked.
Oversee all Group bookings and meeting room bookings.
Review with the General Manager all rates & sales goals for Guest Services/Sales Associates.
Investigate technology for increased communications.
Works with the Management to establish marketing & other operational targets.
Works with Maintenance to ensure guest rooms and public area are meeting all expectations.
Organizes and prepares for guest services/sales meetings.
Answers all guest reviews including Expedia, Facebook, booking.com, google, trip advisor, web site, etc.
